What is the appropriate academic way to extend an invitation for the Société Rencesvals conference scheduled for July 2025?

I’m involved in coordinating outreach for an upcoming conference.The invitation needs to sound professional, respectful, and engaging.I want to follow accepted academic conventions.

From my experience working on academic conference committees, a successful invitation is concise but thoughtfully tailored. I have found that scholars appreciate when the invitation clearly explains why their specific research connects to the conference theme. Even a brief reference to their recent publication or ongoing project can make the message feel intentional rather than generic.

I would suggest keeping the structure simple: introduce the conference (theme, dates, location), explain why their expertise is relevant, and outline what kind of contribution you are inviting (keynote, panel paper, etc.). In my experience, professionalism combined with genuine intellectual interest makes the strongest impression.
