What are the tax implications of using grant money to pay for APCs?
I'm a PI using federal grant funds to pay a $2,500 APC. Is this considered a taxable expense? Do I need to worry about sales tax or VAT, and how should I document this for grant reporting?

APCs are generally allowable direct costs on research grants, but tax treatment is crucial. In many countries, VAT (Value Added Tax) or sales tax applies to APCs. If your institution is tax-exempt (common for universities), you must provide the publisher with a tax exemption certificate to avoid paying VAT, which is often non-reimbursable by grants. The invoice must be correctly addressed to your institution (not you personally) and detail the article. For grant reporting, code the expense under "Publication Costs" and keep the acceptance letter and invoice on file. Always consult your institution's sponsored projects or grants management office before payment. They handle tax compliance and can ensure the payment meets all funder requirements. Mismanaging this can lead to disallowed costs during an audit.
